My first Event
Working as an event planner since twelve years , i want to share you my few of the experiences of my first event .
My first event of life was given by Mr. Amritya Sural (Marketing Head Bosch) or you can say that he was the one who believed in us ,before he gave me this event i had conducted so many events ,even participated in so many events but not organised any of them as an individual .
I got this golden opportunity in 2008, It was to conduct a BTL activity with display and demo in G.K -2 Delhi .
So its not so easy as we think that we can go and initiate the event , firstly we have to take permission from the market association and later to the police station and then comes the time to finalize the date of event to be conducted.
So we got permission n all n we decided to conduct it on Sunday .
At that time i was not having too much money and i even doesn't even own any vehicle, I booked one Max pic up to carry the event material to the venue as the event should be ready before an hour of its time to get started ,but that person ditched me at last moment and it was already 1 pm , no other one was ready to go ,i was like oh God ! what to do but i did not got any one for my immediate requirement .
At that time one school van came to drop the last kid near my place i requested him a lot kindly drop me to the location so that my 1st event should not get spoiled , finally in 2000 rs he got ready and dropped our material to venue ,.
At that time we were not having any employee for us we just hired a boy who was already working in an event company as a free lancer who was told to reach there by 1:30 pm so that setup gets ready by 3 pm .
No one will believe we two people n driver with 2 chairs, 1 table , carpet ,2 Standees, 2 umbrellas ,Barricades, canopy and lights with stand ,with so much of print material all got stuffed in a little van , I my self don't know how i sat there.
We were already late .
But we all Four including drivers help managed to get the setup ready by 3:30 pm event time was 4 pm to 9 pm .
As i told that we hired only one guy so we all have to work so that the events gets ready on time before my client visits .
that time i was not having a good phone with good camera and whats app was also launched that time . Any how i manged to buy a second hand camera with i took few pics of event .
Client reached the location sharp at 4 pm . Event was ready after a long list of problems and
Finally he was happy with the setup done ,he guided few of the changes to be done in elements positioning which we did immediately.
We had again called a promoter which was also a free lancer .
My client after staying there for 20 mins some how said that please start giving the demo of product too.
We had no plan that this would happen , no arrangements of water and tank but some how as the client said so we have to organize it .
We borrowed a jerry can from a Paan wala bhaiya ,and then we arranged water from a park ,
and finally it happend that demo started .
Now as it become 6:30 pm its started getting darker and we were not having any arrangement of light as due to lack of money and first event we were not having genset .
and in between all this we forget to take connection.
At last i requested the nearest shopkeeper to pay 1500 rs and give us the connection for few hours , we managed and he helped us a lot .
Ultimately the event was hit ...after so many problems and issues , my client was very happy as we did what he said immediately .
And agreed to give us events every month.
And the end at the time of packup a huge strom came at 9 pm but thankfully it was after the event .
So this was my journey of execution of my first road show event .
